Terms & Conditions

1. Application

Unless otherwise specifically agreed in writing these Conditions shall be incorporated in every offer, quotation, acceptance and contract for the sale or supply of goods or services by Interprefy and any conditions proposed by the Customer are hereby excluded. 

2. Acceptance

All quotations are given subject to confirmation by Interprefy upon receipt of the Customer's order and no contract shall be concluded urntil such confirmation is given, or the Customer's order is otherwise accepted. Each order when accepted constitutes a separate contract.   

3. Time for Acceptance

The period during which a quote can be accepted extends up to its expiration date, as specified on the quotation.   

4. Prices

Prices quoted are exclusive of VAT (Value Added Tax) and any other tax (unless otherwise stated) and are those in force at the date of quotation. The quoted amount is an estimate based on event type-setup, length of the event, anticipated number of users and/or other agreed services. The amounts to be invoiced are subject to finalization post-event with platform usage, remote support overtime, additional project management, interpreters’ overtime or any other additional services as requested by the customer may be charged.

5. Payment

Upfront Payments

  1. For contracts valued between $30,000 and $99,999 may be subject to an upfront payment of 25%
  2. For contracts valued at $100,000 and above, may be subject to an upfront payment of 50%

All upfront payments are subject to the cancellation and refund terms outlined in Clause 6.

Terms of payment

Unless otherwise agreed, payment must be made no later than 30 days from the date of Interprefy's invoice ("the due date"). Credit card payments will incur a 3.2% surcharge. All transaction fees are the responsibility of the customer.

6. Cancellation Fees & Refund Policy

Cancellation or postponement by the client — whether in full, in part, or through a reduction of scope — is subject to fees applied to the cancelled portion of the contract, as follows:

Contracts Valued at $25,000 and Above

  • 15–8 business days before the event: 25% of the cancelled portion before the event
  • 7–4 business days before the event: 50% of the cancelled portion
  • 3 or fewer business days before the event: 100% of the cancelled portion

Contracts Valued at $5,000 to $24,999

  • 10–8 business days before the event: 25% of the cancelled portion
  • 7–4 business days before the event: 50% of the cancelled portion
  • 3 or fewer business days before the event: 100% of the cancelled portion

Contracts Valued Below $5,000

  • 7–4 business days before the event: 50% of the cancelled portion
  • 3 or fewer business days before the event: 100% of the cancelled portion

“Business Day(s)” means any day other than a Saturday, Sunday, or official public holiday in Switzerland, when banks in Zurich are generally open for business. All timelines and deadlines are based on Central European Time (CET). If a due date or timeline falls on a day that is not a Business Day, it will automatically move to the next Business Day.

Interpreter Services
The same cancellation fees apply to interpreter services. Partial cancellations (e.g., reduced interpreter days or languages) are treated as cancellations and charged according to the above schedule.

Overtime Policy

  • Overtime applies to interpreter services.
  • If services extend beyond the scheduled event time, overtime charges will apply.
  • Overtime is subject to interpreter availability. Interpreters may decline overtime unless agreed in advance.

Refunds for Upfront Payments

If a customer cancels after making a pre-payment, the standard cancellation policy will apply. Refunds will be processed based on the following conditions:

  1. Cancellations made more than 15 business days before the event - The full pre-payment will be refunded, minus any transaction fees incurred.
  2. Cancellations made within 15 business days of the event - No refund will be issued, and the full pre-payment will be retained as per the cancellation schedule above.

Large Deals Consideration
For particularly large deals, the required cancellation period may be extended beyond 15 business days. This will be assessed on a case-by-case basis and communicated to the customer at the time of contract agreement.

7. Quote Acceptance & Surcharges

If this quote is not accepted with the periods stated below, the following surcharges apply:

  1. Any RSI (Remote Simultaneous Interpreting) request with 3 business days’ notice is subject to a 25% surcharge to be added to the full quote.
  2. Any RSI request with 2 business days’ notice is subject to a 50% surcharge to be added to the full quote.   
  3. Any RSI request with 1 business day’ notice (less than 24 hours) is subject to a 100% surcharge to be added to the full quote.
  4. No surcharge for Interprefy AI services.

8. Event and Meeting Requirements

Unless otherwise agreed in writing, it is the responsibility of the Customer to ensure that:

  1. per the guidelines set out by Interprefy, it is the responsibility of the Client to ensure that all participants (delegates, attendees, and interpreters - when provided by the Client) have sufficient bandwidth, through Ethernet, Wi-Fi, or cellular networks, as well as the necessary reliable equipment - including Interprefy-approved electronic devices, microphones, and headsets.
  2. If needed, both remote Internet access and on-site access to the venue is made available to Interprefy well in advance to enable installation and testing of the services and equipment to take place.
  3. The interpretation and captioning of the meeting or event, in both its live and recorded version, serve to facilitate communication and do not constitute an authentic or verbatim record of the original speech. In case of discrepancies, the original speaker should take preference.
  4. Preparation materials for interpreters and Interprefy AI should be provided by the customers.

9. Warranty

Interprefy warrants that the services and equipment supplied will be in accordance with the quotation (or if other services and equipment are substituted that it will not be inferior to that in the quotation). 

10. Liability

Under this agreement, Interprefy AG will have no liability or obligation to the counterparty, its agents, subsidiaries, customers or any other related or affected party, including for loss of profits, business interruption, or any other direct or indirect costs or losses, other than to deliver the services as quoted, according to these terms and conditions. In the event of any breach of this agreement by Interprefy AG, including non or partial delivery of the quoted services, Interprefy AG’s total liability for such breach or failure shall be capped at twice the total value of this agreement. 

11. Equipment Rental

The client is responsible for the condition and safekeeping of the rental equipment (RSIBOXes and sBoxes or other hardware/equipment provided by Interprefy such as sound cards, capture cards, etc) and will be liable for any equipment which is lost, stolen or damaged during the rental period.

12. Confidentiality

Interprefy commits its employees, both in-house and subcontractors, to exercise absolute confidentiality with regard to the documentation and other information contained therein, or information gained through exposure to the Customer’s offices or staff. 

13. Jurisdiction

The contract shall be governed by Swiss law.

14. Definition

Customer/Client means the person, firm or company entering the contract with Interprefy AG. THESE TERMS AND CONDITIONS CAN ONLY BE VARIED WITH THE WRITTEN AGREEMENT OF INTERPREFY AG.
